Carepliance respects your privacy.

This Policy explains what personal information we collect, why we collect it, how we use it, and your rights. We are committed to handling your information responsibly and in full compliance with the Privacy Act 1988(Cth) and the Australian Privacy Principles (APPs).

 

1   Who We Are

Carepliance is operated by LevMar Pty Ltd (ABN 31 689 069 832) trading as Carepliance, a technology platform that connects verified care Suppliers with Providers and Care Recipients across Australia. We are headquartered in Adelaide, South Australia.

We are the data controller responsible for the personal information we collect through the Platform at www.carepliance.com.au

2   What Information We Collect

We only collect information that is necessary to operate the Platform and deliver our services. The type of information we collect depends on whether you are a Supplier, Provider, or Care Recipient.

2.1  Suppliers (care workers and service providers)

  • Full name, date of birth, and contact details (email, phone, address)

  • Australian Business Number (ABN) and right-to-work documentation

  • Compliance Documents including NDIS Worker Screening Clearance, National Police Certificate, Working with Children Check, first aid certificates, professional board registrations, and role-specific qualifications

  • Professional profile information including qualifications, experience, skills, availability, and service types offered

  • Bank account details for payment disbursement

  • Identity verification documents (government-issued photo ID)

  • Health information where required for specific professional registrations

  • Criminal history information obtained through police checks and worker screening clearances or appropriate relevant sources.

2.2  Providers

  • Organisation name, ABN, and contact details

  • Registration details (NDIS registration number, aged care approval details)

  • Authorised representative information

  • Billing and payment information

  • Service request details and engagement history

2.3  Care Recipients

  • Name and contact details

  •  NDIS participant number and plan details (where applicable)

  • Aged care package details (where applicable)

  • Service preferences, needs, and support requirements

  • Payment and funding information

2.4  All Users

  • Account login credentials (stored securely  passwords are encrypted)

  •  Platform usage data and activity logs

  • Communications sent through the Platform messaging system

  • Device and technical information (IP address, browser type, operating system) for security purposes

  • Feedback, complaints, and dispute records

3   Why We Collect Your Information

We collect and use personal information for the following purposes:

3.1  To operate the Platform

  • Create and manage your account

  • Verify your identity and Compliance Documents

  • Match and allocate Suppliers to service requests

  • Issue and maintain the Carepliance ID

  • Process payments and issue invoices

  • Track credential expiry and send renewal reminders

3.2  To meet our legal and regulatory obligations

  • Comply with the NDIS Framework, including NDIS Worker Screening requirements

  • Comply with the Aged Care Framework, including quality and safety standards

  • Meet our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles

  •  Respond to regulatory enquiries, audits, and legal proceedings

  • Maintain records as required by law

3.3  To keep the Platform safe

  •  Monitor for fraudulent, unsafe, or unlawful activity

  • Investigate complaints and disputes

  • Report incidents to relevant authorities where required by law

3.4  To communicate with you

  • Send account notifications, credential alerts, and service updates

  • Respond to your enquiries and support requests

  • Send marketing communications where you have consented

4   Sensitive Information

Some of the information we collect is "sensitive information" under the Privacy Act 1988 (Cth). This includes:

  • Health information (where relevant to professional registration or service delivery)

  • Criminal history information (from police checks and NDIS Worker Screening Checks)

We collect sensitive information only where it is reasonably necessary for our functions and with your consent, or where we are required or authorised by law to collect it. We take additional care in storing, using, and disclosing sensitive information and apply heightened security controls to it.

5   Who We Share Your Information With

We do not sell your personal information. We share information only as described below.

5.1  Other Platform Users

  • Suppliers: Your verified Carepliance ID and compliance credential status are shared with Providers who access the Platform. This is the core function of the Platform.

  • Providers: Your organisation name and registration details are visible to a Supplier once a service engagement is underway between you and that Supplier.

5.2  Service providers

We engage trusted third-party service providers to help us operate the Platform. These include:

  • Payment processors  to collect payments and disburse funds

  • Cloud hosting and data storage providers  to securely store Platform data

  • Identity verification and background check providers  to conduct credential checks

  • Communication service providers  to send emails and notifications

These providers are bound by confidentiality obligations and data processing agreements. They may only use your information to provide services to us, not for their own purposes.

5.3  Regulatory and government bodies

We may disclose personal information to regulatory authorities, law enforcement agencies, or courts where:

  • We are required by law or court order to do so

  • Disclosure is necessary to prevent a serious threat to safety

  • We are required to report incidents under the NDIS Framework or Aged Care Framework

5.4  Business transfers

If Carepliance is sold, merged, or restructured, your information may be transferred to the new entity as part of that process. Any new entity will be bound by this Privacy Policy or will provide you with equivalent protections. You will be duly notified in advance in writing of any such change or related change to Carepliance’s ownership.

6   How We Protect Your Information

We take the security of your personal information seriously. Our security measures include:

  • Encryption of data in transit (TLS/SSL) and at rest

  • Secure, access-controlled cloud infrastructure hosted in Australia, and where overseas such infrastructure complies with Australian Privacy Principles (APPs).

  • Multi-factor authentication for account access

  • Regular security assessments and vulnerability testing

  • Staff training on privacy and data security

  • Strict access controls  only authorised personnel can access personal information, and only to the extent necessary for their role.

While we take all reasonable steps to protect your information, no system is completely secure. If you become aware of any unauthorised access to your account, please notify us immediately at privacy@carepliance.com.au

7   How Long We Keep Your Information

We retain your personal information for as long as your account is active and for as long as required by law after account closure.

  • NDIS-related records: minimum 7 years, as required under the NDIS Framework

  • Aged care records: as required under the Aged Care Act 2024  typically 7 years from the date of last service, or longer for deceased consumers

  • Payment and financial records: 7 years from the date of the transaction (tax law requirement)

  • Credential and compliance records: for the period required by the relevant regulatory framework

When information is no longer required, we securely delete or de-identify it.

8   Your Privacy Rights

Under the Privacy Act 1988 (Cth), you have the following rights:

8.1  Access

You have the right to request access to the personal information we hold about you. You can access much of your information directly through your account profile. For other requests, contact us:

8.2  Correction

If you believe any personal information we hold about you is inaccurate, incomplete, or out of date, you have the right to request a correction. You can update most profile information directly in your account. For changes to verified documents, contact us.

8.3  Complaint

If you believe we have handled your personal information in a way that does not comply with the Australian Privacy Principles, you have the right to make a complaint. Please contact us first at privacy@carepliance.com.au we will acknowledge your complaint within 5 business days and respond within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au

8.4  Marketing opt-out

You may opt out of marketing communications at any time by clicking "unsubscribe" in any marketing email or by contacting us. Opting out of marketing will not affect your receipt of transactional or service-related communications.

9   Cookies and Platform Analytics

Our Platform uses cookies and similar technologies to help the Platform function, remember your preferences, and understand how it is being used. We use:

  • Essential cookies: required for the Platform to function, including login sessions and security features.

  • Analytics cookies: to understand how Users navigate the Platform and improve the user experience. We use anonymised, aggregated data only.

10   Third-Party Links

The Platform may contain links to external websites or services. This Privacy Policy applies only to the Carepliance Platform. We are not responsible for the privacy practices of any third-party websites. We encourage you to read the privacy policies of any external services you use.

11   Children's Privacy

The Platform is not intended for use by persons under 18 years of age. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a person under 18, please contact us immediately.

12   International Data Transfers

Carepliance stores all personal information on servers located in Australia. If any data processing involves an overseas recipient (for example, certain cloud service providers), we take reasonable steps to ensure that those recipients handle your information consistently with the Australian Privacy Principles. By using the Platform, you consent to such transfers where they are necessary to provide the services.

13   Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Platform, or applicable law. When we make material changes, we will:

  • Post the updated Policy on the Platform with a new effective date

  • Notify registered Users by email at least 14 days before changes take effect

Your continued use of the Platform after the effective date of any update constitutes your acceptance of the updated Policy.
